Processing Data for Installation of your System
Your System
For InVentry to function, we need to process certain data obtained from you as the controller which is then entered into your onsite InVentry system. We do this as part of the agreement between you and ourselves when purchasing a system. As part of this, we ensure that our customers are aware of what and where data is processed. Staff data processed during installation
There are two ways that staff data can be entered into the InVentry;
- Integration with your networks Active Directory,
- Importing the data via a CSV files.
The choice for how this data is entered in to the InVentry system is yours. The following staff information is accessed and stored by InVentry. Please note the data is only stored in the InVentry console on your site unless it is required to facilitate other services (see below):
Option 1 – Active Directory Integration
This is the data transferred from your Active Directory to the onsite InVentry system;
- First name,
- Surname,
- Email address,
- Active Directory username.
This approach will allow you add new users in the InVentry system directly using the update facility within InVentry. Additional information can be added if required to increase functionality.
Option 2 – CSV import
This option using a spreadsheet (provided by InVentry as part of the installation process) which has mandatory and optional fields depending on your circumstances, how you wish to use the system and is uploaded into your onsite InVentry system. More details about this can be found in the InVentry Data Import Document within the Welcome pack.
Mandatory Fields;
- First name,
- Surname,
- Email address.
Optional Fields include:
- Middle names,
- Date of birth,
- Gender,
- Vehicle registration,
- Company name,
- Type of visitor,
- House Number,
- Street,
- Post code,
- County,
- Member of staff,
- Requires sticky label,
- Mobile number.
Processing of data
All data processed by InVentry is done so in line with our data sharing agreement contained within this pack. This includes the following services provided by InVentry where data is transferred to us;
- InVentry Anywhere
- Badge Making
- Support desk

Important note:
Please ensure, if you are importing data via CSV, that you have completed your bulk import spreadsheet and that this will be available to the engineer on your installation day.
