The Client
Gartnavel General Hospital is situated in the west of Glasgow and offers a broad range of medical and surgical sub-specialties. The hospital employs around 38,000 staff and provides healthcare to over 1.1 million people. The Estates and Facilities Department are responsible for maintaining a high-quality healthcare environment in compliance with statutory NHS healthcare standards and guidelines, supporting the need for a reliable hospital visitor management system to manage daily site activity.
The Challenge
The Estates Department within Gartnavel General Hospital required the employment of a vast number of specialist contractors. Because of this, the hospital needed a solution that would improve their contractor sign-in process and overall contractor management across the site. Their existing process relied on manual registration and paper-based induction and key tracking sheets, highlighting the need for a more efficient hospital visitor management system to improve accuracy and oversight.
The Solution
Gartnavel Hospital was looking for a solution that could improve their processes while enhancing safeguarding for staff, patients, and visitors. InVentry provided a comprehensive sign-in solution that enabled the hospital to accurately track visitor arrivals while managing contractors from beginning to end through a hospital visitor management system.
A key requirement was the ability to issue contractor cards, allowing access to specific areas of the hospital while tracking arrival times and movements. Through the InVentry system, the hospital can issue temporary ID cards to contractors, enabling them to sign in and out while ensuring accurate data capture.
The contractor checks tool also proved highly beneficial, allowing the hospital to manage RAMS, method statements, permits to work, and insurance documents in one central location. Automated emails and customised questionnaires can be sent ahead of arrival, ensuring all necessary checks are completed before contractors are permitted to sign in.
Another valuable feature is the approved contractors’ module, which allows the hospital to store and manage all contractor details centrally. Once approved, contractors can simply swipe their card to sign in and out, streamlining access while maintaining control.
Gartnavel Hospital also required a solution for key management. With InVentry’s key management module, keys are tracked and assigned barcodes, allowing the team to clearly identify who has booked out each key.

Contractor Management was a real challenge for us before InVentry and it’s triggered such a transformation in terms of managing contractors.
